Format and accuracy

Built to the standard your jurisdiction requires

A legal transcript has to hold up. It needs to have the correct format, correct names, and every word must be accounted for, with a certification page that says so under penalty of perjury.

We pair our proprietary specialized transcription technology with trained legal transcribers and a final quality check on every file before it leaves the building. Our transcripts are formatted to your jurisdiction's requirements, defaulting to California's minimum transcript format standard where none is specified: line numbered at 25 lines per page, with a witness list, exhibit list, and certification page. States differ, and federal courts may have their own requirements.

Final transcripts are 100% verbatim. If your matter or your contract requires that no AI touches the file, we run a fully human workflow instead. Just tell us which one you need.

Certification levels

Working transcript, certified transcript, or CSR certification?

Not every transcript needs to be certified, and the ones that do are not all certified the same way. There are three levels, and which one you need is set by your contract, your jurisdiction, or the tribunal.

Working transcript

No certification page. A complete, verbatim transcript for review, research, or internal use. The right choice when nobody is going to file it.

Certified transcript

The transcript plus a signed certificate of accuracy, in which the person who prepared it declares under penalty of perjury that it is a true, complete, and accurate transcription of the recording. This is Aberdeen's standard form of certification, and it is what most solicitations and hearing offices mean when they ask for a certified transcript.

CSR and CET certification

Some solicitations name a specific credential. A Certified Shorthand Reporter is state-licensed to report proceedings. A Certified Electronic Transcriber holds the national CET credential, issued by AAERT, which merged with STAR in 2026 to form CAPTUR. We have Certified Shorthand Reporters on our team and can assign them to your transcripts on request, subject to availability.

One distinction worth being clear about: it is the transcript that gets certified. A certified transcript means a signed certificate of accuracy is attached to it. It does not mean the person who prepared it holds a CSR or CET credential. Those are two different things, and the difference matters when a solicitation is specific about which one it wants.

Standard schedule

Same-day transcripts, 24-hour turnaround, expedited delivery ahead of a filing deadline, or a standard schedule you can plan around: tell us which one your matter needs and we will do everything within our capacity to meet it.

Send us the volume, the format you need, and your deadline, and we will come back with the fastest we can responsibly deliver and put it in writing.

Recurring caseload or a standing hearing calendar? We build the schedule with you so you are not re-negotiating turnaround every time.

The process

How it works

1

Send us your audio or video through your secure transfer site, along with any prep material you have.

2

Our technology produces a first-pass transcript, or we go fully human if that is what you have asked for.

3

Trained legal transcribers correct and format it to your standard.

4

Our team runs a final quality check.

5

You receive a certified transcript on schedule and we delete the source files on a documented timeline.

Prep material makes a real difference. A party or witness list, exhibit names, case or docket numbers, and the correct spelling of names and titles all go straight into the first draft instead of being reconstructed from audio. If you have video with lower thirds showing speaker names, send the video rather than the audio. None of it is required, and all of it makes your transcript better.
Deliverables

Formats and delivery

Jurisdiction-correct formatting, line numbering, speaker labels, witness and exhibit lists, and a certification page. Deliverables can include:

Text-searchable PDF
Word document, in your template and branding
Plain text or time-coded text
ASCII
Condensed transcript with keyword index
Additional certified copies
Recordings come to us through a secure transfer site, not email, and transcripts go back the same way.
Differentiators

Why Aberdeen

Our technology, reviewed by people.
Our in-house transcription technology creates the first draft. Trained legal transcribers then correct, format, and review every transcript before delivery.
100% human when you need it.
Some matters and some contracts require that no AI touches the file. We have a trained human transcription team and we will run a fully human workflow on request.
100% verbatim.
Word for word on every final transcript. If it was said on the record, it is in the transcript.
Certification, the way your matter requires it.
A certificate of accuracy on every certified order, signed by a Certified Shorthand Reporter or Certified Electronic Transcriber when your contract requires one.
US-based, end to end.
Legal and record transcription is handled only by US-based team members, and your files are stored in United States data centers in Virginia. Your audio does not leave the country, and neither does your data.
You will always reach a person.
Call us during business hours and a human answers. Start a chat on our site and you will get an immediate acknowledgement, then a real answer written by a person rather than a bot guessing at your question. No phone tree, no ticket queue, no waiting to find out who is handling your file. You will know the people working on your transcripts by name.
TRUST & COMPLIANCE

Security, procurement, and accountability

What a vendor or procurement review usually asks for, answered up front.

AI usage disclosed in writing.

Before the contract is signed. California state solicitations require bidders to disclose generative AI provided as a deliverable or used in producing one where it materially affects the work, and we file that disclosure as a matter of course. We tell you up front how the work gets done.

Built for public-sector procurement.

Aberdeen Captioning, Inc., doing business as Aberdeen Broadcast Services, is a California-certified Small Business (certification #2001516). Where a solicitation carries a DVBE participation requirement, we can meet it through a California-certified Disabled Veteran Business Enterprise subcontractor. We hold current general liability, automobile, workers' compensation, and errors and omissions coverage, and we can provide certificates with your bid package.

Secure transcript delivery, not email.

Recordings come to us through a secure file transfer site we set up for you. We do not ask you to email hearing media, and we do not send finished transcripts back by email unless you specifically ask us to.

Transcript retention and deletion.

We hold your recording only as long as we need it. Once the transcript is delivered and accepted, files are deleted on a documented schedule, and we will provide written certification of destruction if your contract or policy requires it. We do not use your content to train AI.

Encryption and limited access.

Encryption in transit and at rest, with access limited to the people doing the work. See our Trust Center for the full documentation.

No long-term contract required.

We do not require a multi-year commitment to work with us. Send us a group of hearings or set up a standing schedule if that suits you better. If a solicitation or your procurement process requires a term contract we will of course sign one, but we will not ask you for a long-term commitment as a condition of working together.

Questions we get

Frequently asked questions

What is a certified transcript?

A certified transcript is a transcript with a signed certification page attached, in which the person who prepared it declares under penalty of perjury that it is a true, complete, and accurate transcription of the recording. That declaration is what separates a certified transcript from a working transcript. We include a certification page on every certified order.

What is the difference between a court reporter and a legal transcriptionist?

A court reporter captures a proceeding as it happens, live and in the room, and can administer oaths. A legal transcriptionist works from a recording after the fact. Most administrative hearings, board proceedings, and agency interviews are already being recorded, so a transcriptionist is the right fit and usually the faster and less expensive one. If your matter requires a reporter present, we will tell you that.

Can your transcripts be certified by a Certified Shorthand Reporter?

Yes. We have Certified Shorthand Reporters on our team who can certify transcripts produced under their direction and supervision, and we add CSR capacity when a contract calls for it. Tell us what your solicitation or court requires and we will confirm in writing what we can provide before you commit.

What is a CET, and how is it different from a CSR?

A Certified Electronic Transcriber holds a national credential for transcribing recorded legal and administrative proceedings, issued by AAERT, which merged with STAR in 2026 to form CAPTUR. A Certified Shorthand Reporter holds a state license to report proceedings live. Solicitations usually name one or the other. AAERT's certification programs are being integrated into CAPTUR.

Are your legal transcripts done by humans or AI?

That is your call, not ours. Our standard workflow uses our own technology to produce a first-pass transcript so we can move quickly, and then trained legal transcribers correct and format it, with a final review before it leaves.
If you need a fully human workflow with no AI involved at any stage, we do that too. We have a trained human transcription team and we run human-only files regularly. Tell us at quote time and we will scope it that way from the start.

Are your transcribers US-based?

Yes, and so are our data centers. Legal and record transcription is handled only by US-based team members, and your files are stored in United States data centers located in Virginia. Your audio does not leave the country at any point in the process.

What are their qualifications?

Legal work is assigned to transcribers with at least three years of experience transcribing material of a legal nature, or a degree, certificate, or diploma in legal transcription, law office management, or paralegal studies. Certified Shorthand Reporters are assigned where certification requires it.

How accurate are your transcripts?

Accuracy and verbatim are two different things, and it is worth separating them. 100% verbatim describes what gets captured: every word that was said, with nothing summarized or cleaned up. Accuracy describes whether what we typed is correct.
We handle accuracy through process rather than a published percentage. Our technology produces the first draft, a trained legal transcriber corrects it, and the transcript is reviewed before delivery. If you find an error, we correct it at no charge.

What can I send you that will make the transcript better?

Anything that tells us who is speaking and how things are spelled. A party or witness list, exhibit names, case or docket numbers, and the names and titles of everyone expected on the record. If you have video with lower thirds showing speaker names, send the video instead of the audio. None of it is required. All of it goes straight into the first draft rather than being reconstructed from the recording, and it costs you nothing.

How fast can I get a transcript?

Same-day, 24-hour, and expedited turnaround are all things clients ask us for and things we take on. What we can commit to on your file depends on the volume, the format, and how many speakers are on the recording. Send us the scope and we will tell you the fastest we can responsibly deliver, in writing.

What format will my transcript be in?

Certified transcripts are formatted to the standards your jurisdiction requires, and by default to California's minimum transcript format standard: 25 typed lines per page, line numbered, with a witness list, exhibit list, and certification page. We deliver as a text-searchable PDF, a Word document, plain or time-coded text, or ASCII, and we will match your own template and branding if you have one. Condensed transcripts with a keyword index and additional certified copies are available on request.

What if the audio quality is poor?

We tell you before it becomes your problem. If a recording has gaps, overlapping speakers, or sections that cannot be accurately transcribed, we contact you as soon as we find it and include a transmittal note describing exactly what happened and where.

What if there is an error in the transcript?

Tell us and we correct it, at no charge, and we work quickly on corrections.
If something else goes wrong, you are talking to a real person. Call during business hours and a human picks up. Start a chat on our site and you will get an immediate acknowledgement, then an actual answer written by someone on our team. You will have a named point of contact who knows your matter, and if there is a problem with a transcript the day before you need it, you will be talking to someone who can fix it rather than filing a ticket and waiting.

How much does legal transcription cost?

Legal transcripts are typically priced per page, with the rate depending on turnaround, formatting, and volume. Additional certified copies, condensed transcripts, and keyword indexing are priced separately. If your matter requires CSR certification or another specific deliverable, we scope that into the quoted project price from the start rather than adding it later. Send us a sample of what you need plus the overall project scope and we will send you a price quote.

Need transcripts that hold up? Let’s talk.

Send us a sample file and your deadline. We will tell you what we can do and what it costs.
